GUIDELINES FOR "INCOMPLETES" (EXTENSIONS BEYOND THE END OF CLASSES)
These are the academic regulations only; students may not be allowed to be on campus to complete course work after the end of finals week and must make appropriate arrangements with the Dean of Students to remain on campus after finals.
WHEN AN "INCOMPLETE" MAY BE GRANTED:
The conditions under which a grade of I (incomplete) is allowed are: extraordinary circumstances that in the LAST THREE WEEKS OF CLASSES prevent a student from completing the work of a course on schedule, but will be able to complete it at a later date without further class attendance. These circumstances must be beyond the student's control (e.g., reasons of health or severe personal contingencies), and they must be documentable. (Faculty have the right to ask for documentation, but do not have to). The student must have been passing the course at that time. Requests for an "incomplete" under other (very extraordinary) circumstances, such as for circumstances that arise before the last three weeks of classes, or during finals week, must be approved by petition before the student leaves campus. "Incompletes" are to be contracted within the last three weeks of classes on the "Incomplete Grade Request and Contract" form, available at the Registrar's Office. For circumstances arising earlier and during finals "incompletes" can be contracted only by petition. Extensions are at faculty discretion.
PROCEDURE:
Both the student and the instructor MUST sign a Incomplete Grade Request and Contract form (available at the Registrar's Office). The instructor should turn the form in with the usual grade sheet. ***An instructor may not arbitrarily assign a grade of incomplete with no form and no student signature. ***If no arrangements for an incomplete have been made, the instructor is to assign the grade that the student has earned so far, giving no credit for missing work. ***NOTE: ASA or the Dean will make exceptions only under extraordinary circumstances beyond the student's control, such as for the student who collapsed during a final exam a few years ago.
DUE DATE:
The due date will be no later than the 8th week of the subsequent semester, and it may be extended for extenuating circumstances until no later than the end of the subsequent semester. However, it is very helpful if the student completes the course before the start of the next semester.
TRANSCRIPT NOTE:
If a change of an "I" to a regular grade takes place after grades are mailed to the student, the
Registrar shall note the date on the student's transcript.
OFF-CAMPUS STUDY AND "INCOMPLETES:"
Students with pending grades of "I" will not be allowed to participate in internships or off-campus study programs in the subsequent semester.
DEAN' LIST AND "INCOMPLETES:"
Students with "I" grades are not eligible for Dean's List.
